The Executive to the Director will provide organizational and informational support to the Director on a daily basis and is central to the maintenance of the Center’s public record and Director’s files. He or She will also provide support to the Program Coordinators, visiting scholars, and others, when assigned by the Director. The Executive Assistant reports to the Director and communicates regularly with the Associate Director. 

Essential Duties

  • Prepare the Director’s on-campus and travel itineraries and schedules
  • Organize all documents pertaining to the Director’s daily activities, including meetings, conferences and other agenda items
  • Provide background information to the director concerning meetings, conferences, and organization events when he will attend
  • Provide updates to the Director while he is away on travel as circumstances warrant
  • Handle phone calls and inquiries meant for the Director in his absence
  • Gather data and research topics relevant to the Director’s conference presentations- including scholarly papers
  • Serve as recorder at the monthly staff meetings
  • Hold in confidence any oral or written materials that require confidentiality
  • Assist visiting scholars to achieve research goals when they are on campus
  • Assist in supervising the administrative staff when requested by the Director
  • Perform other related duties as assigned

Qualifications

  • An A.A. degree or equivalent work experience is required. A B.A or B.S degree is highly desired
  • Superb written verbal communication, and analytical skills, excellent planning and organizational capabilities
  • Demonstrated ability to work with administrators, faculty, staff, students and other University constituencies
  • Demonstrated ability to plan, organize, allocate, coordinate, and gather/analyze data for reports
  • Demonstrated ability to make presentations to diverse audience as requested by Director
  • Experience in computer systems and in using database management, spreadsheets, and word processing tools
  • Knowledge of the internet, World Wide Web, and online systems
  • Knowledge of fiscal rules and regulations at Tuskegee University
  • Must be a team player
  • Knowledge of the principles of bioethics, sufficient to engage in discussion with those making inquiries about the Bioethics Center
  • Experience in preparing and editing manuscripts and scholarly reports
  • Demonstrated ability to make responsible judgment
