Position: Medical Records Specialist                                                                           Department: Veterinary Medical Teaching Hospital/College of Veterinary Medicine

Status: Full-time

Special Qualifications

Essential Duties and Job Responsibilities

  • Supervise and manage medical records unit staff
  • Oversee budget, quality improvement, evaluation, and hiring within the medical records unit.
  • Pull, review and audit patient record in a timely manner with accuracy and completeness.
  • Develop policies and procedures for collecting, organizing, managing, and reporting accurate information
  • Ensure that the information valid, accurate, accessible with security protocols within electronic filing systems
  • Prepare medical records for appointments and subsequent filing.
  • Use veterinary classification software to assign clinical codes for procedures and diagnosis
  • Observe confidentiality and safeguards all patient related information
  • Maintain electronic records for collection, storage, analysis, retrieval, and reporting
  • Provide data for internal analysis and external exporting for CVM and VMTH leadership
  • Maintain a positive working report with inter-department personnel, as well other clinical departments within the VMTH to assure medical records are properly maintained and problem areas are identified and corrected.
  • Be current on HIPPA regulations, federal, and state laws and compliance
  • Contribute to and adhere to VMTH requirements, policies, and standards
  • Perform duties with professionalism, quality customer service, and sensitivity to the diversity
  • Performs other duties as assigned.

Qualifications

  • Earned Associates degree in health care information systems with certification and/or medical coding certification
  • Have a minimum of three (3) years of office experience in medical coding is preferred
  • Knowledge on federal and state laws regarding proper medical record filing.
  • Demonstrated knowledge of electronic filing systems
  • Knowledge of veterinary medical terminology and procedures.
  • Strong organizational and interpersonal skills.
  • Ability to determine appropriate course of action in more complex situations.
  • Ability to work independently, exercise creativity, be attentive to detail and maintain a positive attitude.
  • Ability to manage multiple and simultaneous responsibilities and prioritize scheduling of work skills.
  • Ability to complete work assignments accurately and in a timely manner
  • Ability to maintain confidentiality of all medical, financial, and legal information.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to handle difficult situations involving pet owners, faculty members, or others in a professional manner.
  • Be proficient in computer, typing, Microsoft Office experience, fax, copier, data entry

Salary
Commensurate with education, training and experience

Additional Position Information:
This position requires weekend and after work hours’ job responsibilities.
